Overview

The User Maintenance Module in Artificio provides the Admin user with comprehensive control over various aspects of account and user administration.

This module is divided into sub-modules: Account Settings, Plans, Payment, Users, and Roles & Authorization. Each of these sub-modules allows the Admin to manage different components of the Artificio account and its users.

1. Account Settings

In the Account Settings, the Admin can manage and update organizational and personal details.

Organizational Details:

Organization Name: Update the name of your organization.

Country: Specify the country where your organization is located.

Address: Input the street address of the organization.

City: Enter the city of operation.

Zip Code: Provide the postal code for the location.

 

Basic Details:

First Name: Admin's first name.

Last Name: Admin's last name.

Email: Admin's email address.

Role: This is set to Admin by default for the first user created and you cannot reset it.

Phone Number: Admin's contact number.

Change Password:

Current Password: Input the current password.

New Password: Enter a new password.

Confirm New Password: Re-enter the new password for confirmation and accuracy.

2. Plans

In this submodule, the Admin can view the current plan, upgrade or downgrade plans, and choose between yearly or monthly billing options.

View Current Plan: See details of the current subscription plan.

Change Plan: Options to upgrade (e.g., from Starter to Enterprise plan) or downgrade the plan.

Billing Frequency: Choose between a yearly or monthly billing cycle.

3. Payment

The Payment submodule allows the Admin to manage billing information and view payment history.

Edit Payment Method: Update bank or credit card information for billing.

View Payment History: Access records of all payments made in the last 3 years.

Billing Address: Add or modify the billing address associated with the account.

4. Users

This enables the Admin to add and manage user accounts within the Artificio platform.

Add New User: Input user details such as first name, last name, and email id.

Assign Role: Select a role for the new user from the available list.

Set Initial Password: Create and confirm a password for the new user account.

5. Roles and Authorization

In this area, the Admin can create custom roles and assign specific authorizations based on business functions and the applications used by users.

Create New Roles: Define roles that cater to various business functions.

Assign Authorizations: Specify the level of access and permissions for each role, pertaining to different applications within Artificio.

Best Practices for User Management

Regularly update the account and user information to reflect any changes in the organization.

Review and adjust the subscription plan as per the evolving needs of the organization.

Ensure secure and updated billing information for uninterrupted service.

Manage user roles and authorizations carefully to maintain operational efficiency and data security.

This comprehensive approach to user management ensures that the Admin can effectively oversee and control the various aspects of the Artificio platform, leading to smoother operations and enhanced security.

Creating Roles and Managing Authorizations

As an Admin, you can define and create various roles within Artificio for different users, providing specific authorizations to access different applications and functionalities. This ensures that users have access only to the tools and data necessary for their roles, enhancing both security and efficiency.

Steps to Create Roles and Assign Authorizations:

Access the Role Management Section: Navigate to the role management area in the Artificio platform’s admin panel.

Create a New Role: Select the option to create a new role. Provide a descriptive name for the role that clearly indicates its purpose or the user group it represents.

Assign Authorizations: For each role, specify the authorizations for accessing different applications within Artificio.

 

The key applications include:

Data Modelling: Access to create and manage data models.

Data Views: Authorization to view and interact with various data representations.

Integration: Permission to set up and manage integrations with other systems or platforms.

Design: Access to the design tools for creating personalized email designs, forms, and other elements.

Automation: Authorization to create and manage automated workflows and processes.

Save and Apply Changes: After assigning the necessary authorizations, save the role and apply the changes.

Assign Roles to Users: Go to the user management section and assign the newly created roles to the respective users as per their job functions and requirements.

Best Practices for Role Management

Role Specificity: Create roles that are specific and tailored to the job functions within your organization.

Regular Review: Periodically review and update roles and authorizations to align with any changes in job functions or organizational structure.

Principle of Least Privilege: Assign only the necessary permissions to each role to maintain security and minimize potential misuse.
