Artificio's Email Flow Rules

Email Flow rules in Artificio allow you to automate and streamline your approval processes. By setting up these rules, you can automatically send approval emails to team leads or managers for a variety of tasks.

Use Cases

  • Timesheets: Get timesheets approved by managers.
  • Invoices: Obtain company approval for invoices.
  • Accounts Payable: Release payments after an invoice has been approved.
  • Financial Approvals: Request approval for purchasing new equipment.
  • Reimbursement Requests: Submit and track insurance claims.
  • Leave Requests: Send leave requests to managers for approval.

How to Set Up Workflow Rules

  1. Create Your Email: First, you'll need to create the email template that will be sent for approval.
  2. Define Email Flows: Next, go to the Email Flows section and set up the flow for your approval email.
  3. Create a Rule: Navigate to the Data View section and create a new rule.
    • Select Function as the rule type.
    • Choose your desired Email Flow.
  4. Set Your Trigger: Configure the trigger for when the email flow should run. You can use various conditions to trigger the rule, such as:
    • Equal to
    • Not equal to
    • Contains
    • Not contains
    • Less than
    • Greater than
    • Less than or equal to
    • Greater than or equal to
    • Value between
  5. Save and Run: Add the specific value(s) for your chosen condition and save the flow. You can also add multiple flows to a single email. Once saved, you can run the rules by selecting the relevant row(s) in your data view.

Tracking Status

After a workflow is triggered, you can check its status directly in the Data View. Click on the status to see a detailed breakdown of the email flow, including whether it was sent, opened, or approved.
