SAP AI Agent · IM · QM · Shelf life Configurable

Act on expiring SAP batches in time with governed AI agents.

Watch batch expiration dates across plants and act before stock expires. The agent finds batches at risk, proposes whether to consume first, transfer, retest or extend shelf life, and moves expired stock to blocked status after approval, so less is written off and nothing expired ships.

Why it matters

Batches expire quietly on the shelf.

Expiry dates sit in the batch record, but nobody watches them across plants. Batches expire unused, get written off, or worse, ship after their date.

  • Write-offs

    Stock expires unused

Batches expire while demand exists in another plant or product.Write-offs → Wasted spend → Disposal cost
  • Compliance

    Expired stock ships

Without blocking, expired batches can be picked and shipped.Customer complaints → Recalls → Audit findings
  • Options

    Retest and extension missed

Many materials can be retested or extended, but the window passes.Lost value → Rushed decisions → Rework

How it works

Read. Validate. Decide. Act.

The same four steps as every Artificio agent. The agent does the research and the paperwork; your teams make the decisions.

  1. 01 · Read

    Watch expiry dates

Reviews batches and their expiry dates across plants.

    • Days left and value at risk
    • Storage location and status
  2. 02 · Validate

    Check demand

Looks for demand that could use the batch in time.

    • Orders in the same and other plants
    • Products that use the material
  3. 03 · Decide

    Propose an action

    Proposes the best next step.

    • Consume first, transfer, retest or extend
    • Quality rules for retest and extension
  4. 04 · Act

    Act after approval

    Carries out the approved action.

    • Transfers or priority for consumption
    • Expired stock blocked

Worked example

A shelf-life review, from 2,140 batches to an action plan.

The weekly review finds batches expiring in the next 60 days. Here is what the agent finds for one material.

Plant 2000 will use 1,500 KG within 30 days, well before expiry. Transferring now avoids a retest and a write-off.

  • If no demand exists

    Retest or block

Batches without demand go to quality for retest, or are blocked at expiry.
  • If a customer requires remaining shelf life

    Checked

Customer minimum remaining shelf life is checked before stock is allocated.
  • If a retest fails

    Blocked

Failed retests move the batch to blocked stock after approval.

Capabilities

Shelf-life management with governance built in.

Every expiring batch seen in time, across every plant.

  • Watch

    Expiry dates

Batches reviewed by days left and value.
  • Demand

    Every plant

Use before expiry checked across plants.
  • Transfer

Controlled autonomy

Start with human oversight. Automate only when ready.

The agent proves itself on your real work before it writes anything to SAP. The platform measures how often your people agree with it, so you decide when to give it more room, case type by case type.

  1. Step 1Where every agent starts

    Shadow mode

The agent proposes every action but writes nothing to SAP. Your people decide, and each answer counts toward the agreement rate.

  2. Step 2

    Approve, then act

The required owners approve. The agent acts in SAP only when the last approval lands.

  3. Step 3

    Act by approved rule

For case types you explicitly configure and approve, such as blocking batches on their expiry date, the agent acts on its own and reports back.

Governed agent runtime

Shared platform controls across every Artificio agent.

What makes this agent different is its configuration: its instructions, the tools it may use and the policies it works under. Reviewers, approvals, versions and audit work the same way for every agent you add.

What we measure

Results you can see in your own numbers.

Every pilot tracks the same four measures from day one, so the business case comes from your data, not ours.

  • Expired write-offs

    Value written off for expiry.
  • Value saved

Expiring stock used, moved or retested.
  • Expired shipments

Expired stock shipped, which should be zero.
  • Warning time

    Days of notice before expiry.

For SAP teams

Integrates with SAP ECC and S/4HANA through standard interfaces.

The agent reads and writes data through supported SAP interfaces, without modifying standard SAP objects and without replacing your existing governance.

Pilot approach

Start with your highest-value shelf-life materials.

A focused pilot in your QA or sandbox system proves the agent on your own data before anything reaches production.

  1. Phase 1

    Connect

Review SAP edition, interfaces, authorizations and representative data.

  2. Phase 2

    Configure

Agree the materials, plants, rules and approvers.

  3. Phase 3

    Pilot

Review real batches in shadow mode: the agent proposes, your team acts.

  4. Phase 4

    Expand

Review the four measures, then add materials and approved automatic blocking.

Frequently asked questions

Questions SAP teams ask.

Which dates does it use?
Shelf-life expiration dates on the batch, and production dates where you calculate shelf life from them.
Does it block expired stock automatically?
Only if you allow it. By default, blocking needs approval.
Does it handle retests?
It proposes retests where your quality rules allow them and sends them to quality.
Does it check customer shelf-life requirements?
Yes, where minimum remaining shelf life is maintained for customers.
Does it cover all plants?
Yes. Demand in every plant in scope is checked before proposing an action.
Is the Batch Expiration Agent available today?
It is configured on request on the same governed platform as Artificio's available agents. We start by scoping your process and systems, then configure and test the agent in a pilot in your SAP QA or sandbox system before anything reaches production.
Does the Batch Expiration Agent write to SAP without approval?
Not by default. Every agent starts in shadow mode, where nothing is written to SAP. After that, the required owners approve before the agent acts. Automatic action is only possible for cases you explicitly configure and approve.
Which SAP versions are supported?
SAP ECC and SAP S/4HANA. The exact interfaces and scope are confirmed for your release and deployment during technical discovery; S/4HANA Cloud Public Edition is reviewed case by case.
