SAP AI Agent · SD · Order entry Demo available

Automate SAP sales order entry with governed AI agents.

Turn customer purchase orders from email, PDF, Excel, Word or EDI into SAP sales orders. The agent matches the customer, ship-to and materials, checks price against the quote or contract, simulates the order for price and availability, and creates it once everything checks out or the right person approves.

Why it matters

Manual order entry delays every order and lets pricing errors through.

Customer service re-keys POs in every format, looks up customer part numbers by hand and catches price differences only after the invoice is disputed.

  • Manual keying

    Every PO typed into VA01

Each customer sends a different layout, so orders wait in the inbox until someone has time to enter them.Slow confirmations → Late shipments → Unhappy customers
  • Wrong master data

    Wrong ship-to, wrong material

Customer part numbers and free-text addresses are matched from memory, so orders go to the wrong place or with the wrong part.Returns → Credit notes → Rework
  • Price leakage

    Prices nobody checked

PO prices aren't compared with the quote or contract until the customer disputes the invoice.Disputes → Deductions → Lost margin

How it works

Read. Validate. Decide. Act.

The same four steps as every Artificio agent. The agent does the research and the paperwork; your teams make the decisions.

  1. 01 · Read

    Read the PO

From the order mailbox or EDI: PDF, Excel, Word, email body or EDI message.

    • Header, lines, dates and references extracted
    • Quote or contract numbers picked up from the PO
  2. 02 · Validate

    Match against SAP

Matches the customer, ship-to, sales area and every material.

    • Name and address matching for sold-to and ship-to
    • Customer part numbers and descriptions mapped to SAP materials
  3. 03 · Decide

    Check price and availability

Compares price and validity with the quote or contract and simulates the order.

    • Price and quantity variances against your tolerances
    • Credit block and confirmed dates from the SAP simulation
  4. 04 · Act

    Create the order

Creates the sales order when it checks out, or routes the difference to its owner.

    • Schedule lines and dates from the simulation
    • SAP order number recorded on the case

  • If a material can't be matched

    Suggestions, not guesses

The closest materials are shown with the reason for each, and customer service picks the right one.
  • If there is no quote or contract

    Your rules decide

Customers or sales areas you allow can order at list price; everything else goes to the sales rep.
  • If SAP rejects the order

    The case stays open

SAP's message is recorded on the case so the data can be corrected and the order retried. Nothing is half-created.

Capabilities

Order entry with governance built in.

Every PO goes through the same checks, whatever the customer or format.

  • Capture

    Any PO format

PDF, Excel, Word, email body and EDI from the same mailbox.
  • Match

    Customers and ship-tos

Name and address matching for sold-to and ship-to parties.
  • Map

    Customer part numbers

Customer material, SAP material or description mapped to the right SAP material.
  • Price

    Quote and contract check

Price and validity compared with the quote or contract, with tolerances.
  • Simulate

    Price, availability and credit

SAP's simulation previews price, confirmed quantity, dates and credit block.
  • Audit

    Complete history

Every value, decision and SAP response recorded on the case.

Ownership

Each exception goes to the person who owns it.

You decide who handles each kind of exception. Whoever answers first decides, and anything without an owner goes to the customer service lead.

  • Customer service

    Order entry

Low-confidence lines and new ship-to addresses.
  • Sales rep

    Price differences

Prices outside tolerance or without a contract.
  • Credit

    Credit blocks

Orders blocked by the credit check.
  • Planning

    Availability

    Requested dates SAP can't confirm.
  • Master data

    New customers or materials

    Requests for missing master data.
  • Pricing

    Quotes and contracts

    Expired or missing agreements.
  • Logistics

    Delivery instructions

    Special shipping or packing notes.
  • CS lead

    Exceptions

Unassigned items, rejected orders and a weekly summary.

Owners, rules and tolerances are configured to your organization and agreed for each deployment.

Controlled autonomy

Start with human oversight. Automate only when ready.

The agent proves itself on your real work before it writes anything to SAP. The platform measures how often your people agree with it, so you decide when to give it more room, case type by case type.

  1. Step 1Where every agent starts

    Shadow mode

The agent proposes every action but writes nothing to SAP. Your people decide, and each answer counts toward the agreement rate.

  2. Step 2

    Approve, then act

The required owners approve. The agent acts in SAP only when the last approval lands.

  3. Step 3

    Act by approved rule

For case types you explicitly configure and approve, such as repeat orders from approved customers that match their contract, the agent acts on its own and reports back.

Governed agent runtime

Shared platform controls across every Artificio agent.

What makes this agent different is its configuration: its instructions, the tools it may use and the policies it works under. Reviewers, approvals, versions and audit work the same way for every agent you add.

What we measure

Results you can see in your own numbers.

Every pilot tracks the same four measures from day one, so the business case comes from your data, not ours.

  • Touchless order rate

Orders created without manual entry, by customer and format.
  • Order entry time

From PO received to order created in SAP.
  • Price variances caught

Differences found before the order, not after the invoice.
  • Rework avoided

Orders changed or cancelled after creation because of entry errors.

For SAP teams

Integrates with SAP ECC and S/4HANA through standard interfaces.

The agent reads and writes data through supported SAP interfaces, without modifying standard SAP objects and without replacing your existing governance.

ScopeThe exact interfaces, objects and fields in scope are confirmed for your SAP release and deployment during technical discovery. S/4HANA Cloud Public Edition is reviewed case by case, and some landscapes may need additional configuration.

Pilot approach

Start with one sales org and a few key customers.

A focused pilot in your QA or sandbox system proves the agent on your own data before anything reaches production.

  1. Phase 1

    Connect

Review SAP edition, interfaces, authorizations and representative data.

  2. Phase 2

    Configure

Agree one sales org, a few key customers, tolerances and owners.

  3. Phase 3

    Pilot

Run real POs in shadow mode, including new ship-tos and price differences.

  4. Phase 4

    Expand

Review the four measures, then add customers, formats and autonomy.

Frequently asked questions

Questions SAP teams ask.

Which PO formats are supported?
PDF, Excel, Word, the email body itself and EDI messages, from the same order mailbox. Scanned PDFs are read too.
How does it match customer part numbers?
It uses your customer-material info first, then the SAP material number, then the description. Lines matched by description are shown for confirmation.
What if the price doesn't match the quote or contract?
Differences within your tolerances can proceed. Larger differences go to the sales rep, who accepts the customer's price or confirms at the agreed price before the order is created.
Does it check availability and credit?
Yes. The agent runs SAP's order simulation to preview price, confirmed quantities and dates, and any credit block, before creating the order.
Can orders be created without a quote or contract?
Only where you allow it. You can let specific customers or sales areas order at list price; everything else goes to the sales rep.
Does the Sales Order Processing Agent write to SAP without approval?
Not by default. Every agent starts in shadow mode, where nothing is written to SAP. After that, the required owners approve before the agent acts. Automatic action is only possible for cases you explicitly configure and approve.
Which SAP versions are supported?
SAP ECC and SAP S/4HANA. The exact interfaces and scope are confirmed for your release and deployment during technical discovery; S/4HANA Cloud Public Edition is reviewed case by case.
