Why it matters

Quotes take days because RFQs arrive in every format.

Customers send RFQs as emails, PDFs and spreadsheets, often with their own part numbers or plain descriptions. Sales retypes each line, looks up prices and checks dates, and the fastest competitor wins.

  • Speed

    Quotes take too long

Each RFQ is retyped line by line before pricing can start.Lost deals → Sales overtime → Backlogs
  • Matching

    Customer descriptions, not your parts

Customers use their own part numbers or descriptions, so sales hunts for the right material.Wrong material quoted → Rework → Errors
  • Pricing

    Inconsistent prices

Prices are looked up by hand, and discounts vary by who prepared the quote.Margin leakage → Disputes later → Audit questions

How it works

Read. Validate. Decide. Act.

The same four steps as every Artificio agent. The agent does the research and the paperwork; your teams make the decisions.

  1. 01 · Read

    Read the RFQ

Reads RFQs from email, PDF or Excel.

    • Customer, contact, lines, quantities and dates
    • Attachments and drawings kept with the case
  2. 02 · Validate

    Match customer and materials

Finds the customer and the right SAP materials.

    • Customer material info and past orders used
    • Descriptions matched with a confidence score
  3. 03 · Decide

    Price and date

Prices each line from SAP and simulates delivery.

    • Your pricing conditions and quantity scales
    • Delivery date simulated from availability
  4. 04 · Act

    Create after approval

Creates the quotation once sales reviews it.

    • Quotation created in SAP
    • Customer reply drafted for sales to send

  • If a material can't be matched

    Sales picks

Low-confidence matches are shown with the best candidates, and sales chooses.
  • If a price is missing

    Flagged, not invented

Lines without a customer price are flagged, and the agent never makes up a discount.
  • If margin is too low

    Escalated

Quotes below your margin floor go to the sales manager.

Controlled autonomy

Start with human oversight. Automate only when ready.

The agent proves itself on your real work before it writes anything to SAP. The platform measures how often your people agree with it, so you decide when to give it more room, case type by case type.

  1. Step 1Where every agent starts

    Shadow mode

The agent proposes every action but writes nothing to SAP. Your people decide, and each answer counts toward the agreement rate.

  2. Step 2

    Approve, then act

The required owners approve. The agent acts in SAP only when the last approval lands.

  3. Step 3

    Act by approved rule

For case types you explicitly configure and approve, such as creating quotations where every line matches and is priced from the customer's price list, the agent acts on its own and reports back.

Governed agent runtime

Shared platform controls across every Artificio agent.

What makes this agent different is its configuration: its instructions, the tools it may use and the policies it works under. Reviewers, approvals, versions and audit work the same way for every agent you add.

What we measure

Results you can see in your own numbers.

Every pilot tracks the same four measures from day one, so the business case comes from your data, not ours.

  • Time to quote

From RFQ received to quotation sent.
  • Lines matched

Lines matched to the right material without rework.
  • Price consistency

Quotes priced from SAP conditions, and overrides recorded.
  • Quote win rate

Quotations converted to orders, tracked over time.

For SAP teams

Integrates with SAP ECC and S/4HANA through standard interfaces.

The agent reads and writes data through supported SAP interfaces, without modifying standard SAP objects and without replacing your existing governance.

ScopeThe exact interfaces, objects and fields in scope are confirmed for your SAP release and deployment during technical discovery. S/4HANA Cloud Public Edition is reviewed case by case, and some landscapes may need additional configuration.

Pilot approach

Start with one sales team and its RFQ mailbox.

A focused pilot in your QA or sandbox system proves the agent on your own data before anything reaches production.

  1. Phase 1

    Connect

Review SAP edition, interfaces, authorizations and representative data.

  2. Phase 2

    Configure

Agree the mailbox, customers, pricing rules and approvers.

  3. Phase 3

    Pilot

Prepare real quotes in shadow mode: the agent drafts, sales quotes.

  4. Phase 4

    Expand

Review the four measures, then add teams and approved automatic quotations.

Frequently asked questions

Questions SAP teams ask.

Which RFQ formats does it read?
Emails, PDFs and Excel files, including customer part numbers and plain descriptions.
How does it match descriptions to materials?
Using customer material info, past orders and your material descriptions. Each match has a confidence score, and low ones go to sales.
Where do the prices come from?
From your SAP pricing conditions, price lists and quantity scales. The agent never invents a discount.
Does it send quotes to customers?
Only after sales approves. The reply is drafted for the sales rep to send.
Does it work for new customers?
New customers go to the Customer Onboarding Agent or your setup process first.
Is the Customer Quote Creation Agent available today?
It is configured on request on the same governed platform as Artificio's available agents. We start by scoping your process and systems, then configure and test the agent in a pilot in your SAP QA or sandbox system before anything reaches production.
Does the Customer Quote Creation Agent write to SAP without approval?
Not by default. Every agent starts in shadow mode, where nothing is written to SAP. After that, the required owners approve before the agent acts. Automatic action is only possible for cases you explicitly configure and approve.
Which SAP versions are supported?
SAP ECC and SAP S/4HANA. The exact interfaces and scope are confirmed for your release and deployment during technical discovery; S/4HANA Cloud Public Edition is reviewed case by case.
