SAP AI Agent · PP · MM · Shortages Configurable
Design scenario · how the agent is configured to work
Why it matters
Missing parts often show up only when stores try to pick them. By then the line is idle, and someone is calling suppliers and other plants in a hurry.
How it works
The same four steps as every Artificio agent. The agent does the research and the paperwork; your teams make the decisions.
Checks components for orders starting in the coming days.
Looks for every way to cover the gap.
Proposes the fastest, cheapest option.
Creates transfers or asks suppliers to expedite once approved.
Worked example
An order for 400 pumps starts Friday, and the seals aren't there. Here is what the agent finds.
340 seal kits are missing for Friday. The supplier's PO lands four days late, but plant 2000 has 900 kits with no demand for four weeks.
| Option | Covers | Why |
|---|---|---|
| Transfer from plant 2000 | 400 EA by 4 Nov | Stock without demand for 4 weeks |
| Expedite PO | Maybe 7 Nov | Supplier asked; still a day late |
| Substitute SK-410B | None in stock | Approved alternate, but no stock |
| Reschedule order | Delays 400 pumps | Customer order due 12 Nov |
| Recommended | Transfer | Fastest and no extra cost |
The transfer is created only after the planner approves. Plant 2000's planner is told before stock moves.

Inside the platform
The case shows who it is waiting for, what happens next, what the agent checked and exactly what each person is approving.
Waiting for L. Brooks (Planner) to approve a 400 EA transfer from plant 2000, asked Mon 2 Nov at 05:36.
Once approved, the stock transfer is created, plant 2000 is told, and the shortage is checked again on Wednesday.
| Step | Owner | Status |
|---|---|---|
| Shortage check | Agent | Done |
| Approve transfer | L. Brooks · Planner | Waiting |
| Create stock transfer | Agent | On hold |
| Recheck Wednesday | Agent | Scheduled |
Order 1000531 needs 400 seal kits SK-410 on Friday and plant 1000 has 60. Plant 2000 has 900 with no demand for four weeks. Transfer 400 to plant 1000?

Capabilities
Every order due soon checked for parts, every day.
Ownership
You map plants and material groups to owners. Whoever answers first decides, and anything unassigned goes to the materials manager.
Owners, rules and tolerances are configured to your organization and agreed for each deployment.
Controlled autonomy
The agent proves itself on your real work before it writes anything to SAP. The platform measures how often your people agree with it, so you decide when to give it more room, case type by case type.
The agent proposes every action but writes nothing to SAP. Your people decide, and each answer counts toward the agreement rate.
The required owners approve. The agent acts in SAP only when the last approval lands.
For case types you explicitly configure and approve, such as creating transfers between storage locations in the same plant, the agent acts on its own and reports back.
Governed agent runtime
What makes this agent different is its configuration: its instructions, the tools it may use and the policies it works under. Reviewers, approvals, versions and audit work the same way for every agent you add.
Decisions go to named owners or authorized teams, with reminders, and every email links back to the case.
Gathering data is kept separate from changing SAP. Action tools are controlled and can require human approval before they run.
Versions can't be edited, and each case keeps the version it started with, so a change never alters work in progress.

What we measure
Every pilot tracks the same four measures from day one, so the business case comes from your data, not ours.
For SAP teams
The agent reads and writes data through supported SAP interfaces, without modifying standard SAP objects and without replacing your existing governance.
| Production orders | Orders due and their components |
|---|---|
| Stock | All plants and storage locations |
| Supply | Open POs and transfers |
| Master data | Substitutes and transfer times |
| Transfers | Created after approval |
|---|---|
| Expedite requests | Sent after buyer approval |
| Planner alerts | Remaining risks |
| Responses | Every SAP response recorded on the case |
ScopeThe exact interfaces, objects and fields in scope are confirmed for your SAP release and deployment during technical discovery. S/4HANA Cloud Public Edition is reviewed case by case, and some landscapes may need additional configuration.
Pilot approach
A focused pilot in your QA or sandbox system proves the agent on your own data before anything reaches production.
Review SAP edition, interfaces, authorizations and representative data.
Agree the plant, window, sources and approvers.
Check real orders in shadow mode: the agent proposes, planners act.
Review the four measures, then add plants and approved automatic transfers.

Security & compliance
ISO 27001:2013 certified, SOC 2 Type 2 compliant, GDPR and HIPAA ready. Every agent action is logged and auditable, and SAP credentials stay in the platform's integration accounts.
