SAP AI Agent · MM · Supplier collaboration Configurable
Design scenario · how the agent is configured to work
Why it matters
Suppliers confirm POs in every format, and many never confirm at all. Buyers key changes when they have time, MRP plans on dates the supplier already moved, and shortages appear without warning.
How it works
The same four steps as every Artificio agent. The agent does the research and the paperwork; your teams make the decisions.
Reads acknowledgments and ASNs in whatever form they arrive.
Matches quantity, price and date to the PO.
Updates confirmations and inbound deliveries once the buyer approves.
Follows up silent suppliers and shares demand.
Worked example
A packaging supplier replies to a PO with one later date and one higher price. Here is what the agent finds.
The new date for line 20 is four days after production order 1000522 needs the cartons. Stock on hand covers only part of the order.
| Line | Variance | Proposed action |
|---|---|---|
| 10, 30, 50 | None | Confirm as ordered |
| 20 | +8 days | Ask supplier to split: part by 12 Nov |
| 40 | +$0.06 per unit | Buyer checks the agreed price |
| Planner | Alerted | Order 1000522 at risk |
| Next follow-up | Wed 4 Nov | If the supplier doesn't answer the split request |
Confirmations change in SAP only after the buyer decides. The price is never accepted without the buyer.

Inside the platform
The case shows who it is waiting for, what happens next, what the agent checked and exactly what each person is approving.
Waiting for T. Hughes (Buyer) to decide on lines 20 and 40, asked Mon 2 Nov at 09:34.
Once decided, confirmations are updated in SAP and the supplier gets the buyer's reply.
| Step | Owner | Status |
|---|---|---|
| Read and compare 5 lines | Agent | Done |
| Alert planner | Agent | Sent |
| Decide lines 20 and 40 | T. Hughes · Buyer | Waiting |
| Update confirmations | Agent | On hold |
Delta Packaging moved line 20 to 20 Nov (order 1000522 needs it by 16 Nov) and quoted $1.92 on line 40 against $1.86. Ask for a partial shipment by 12 Nov, and query the price?

Capabilities
Every PO line confirmed, compared and kept current.
Ownership
You map suppliers and purchasing groups to buyers. Whoever answers first decides, and anything unassigned goes to the purchasing manager.
Owners, rules and tolerances are configured to your organization and agreed for each deployment.
Controlled autonomy
The agent proves itself on your real work before it writes anything to SAP. The platform measures how often your people agree with it, so you decide when to give it more room, case type by case type.
The agent proposes every action but writes nothing to SAP. Your people decide, and each answer counts toward the agreement rate.
The required owners approve. The agent acts in SAP only when the last approval lands.
For case types you explicitly configure and approve, such as updating confirmations that match the PO exactly, the agent acts on its own and reports back.
Governed agent runtime
What makes this agent different is its configuration: its instructions, the tools it may use and the policies it works under. Reviewers, approvals, versions and audit work the same way for every agent you add.
Decisions go to named owners or authorized teams, with reminders, and every email links back to the case.
Gathering data is kept separate from changing SAP. Action tools are controlled and can require human approval before they run.
Versions can't be edited, and each case keeps the version it started with, so a change never alters work in progress.

What we measure
Every pilot tracks the same four measures from day one, so the business case comes from your data, not ours.
For SAP teams
The agent reads and writes data through supported SAP interfaces, without modifying standard SAP objects and without replacing your existing governance.
| Supplier messages | Email, PDF, portal and EDI |
|---|---|
| Purchase orders | Lines, prices and dates |
| Planning | MRP needs and affected orders |
| Contacts | Your supplier contact matrix |
| Confirmations | Updated after buyer approval |
|---|---|
| Inbound deliveries | Created from ASNs |
| Supplier messages | Reminders and forecasts |
| Responses | Every SAP response recorded on the case |
ScopeSupplier portals and EDI connections are agreed in discovery. Forecasts and schedule lines are shared from your SAP planning data in the format each supplier can use.
Pilot approach
A focused pilot in your QA or sandbox system proves the agent on your own data before anything reaches production.
Review SAP edition, interfaces, authorizations and representative data.
Agree the suppliers, channels, contact matrix and approvers.
Process real acknowledgments in shadow mode: the agent compares, buyers update.
Review the four measures, then add suppliers and approved automatic updates.
