SAP AI Agent · IM · WM · Cycle count Configurable
Design scenario · how the agent is configured to work
Why it matters
When a count doesn't match SAP, the difference is usually adjusted and forgotten. The real cause, a goods issue not yet posted, the wrong unit or a mislabeled bin, keeps creating new differences.
How it works
The same four steps as every Artificio agent. The agent does the research and the paperwork; your teams make the decisions.
Sets count priorities from your rules.
Compares counts with SAP stock.
Checks the usual causes before any adjustment.
Posts real differences once approved.
Worked example
The weekly count finds 14 items that don't match SAP. Here is what the agent finds before anything is adjusted.
120 EA were used on order 1000482, but the backflush failed and sits in COGI. Clearing COGI fixes the stock; no adjustment is needed.
| Cause | Items | Next step |
|---|---|---|
| Open goods movements | 5 | Clear COGI or post the movement; no adjustment |
| Unit of measure | 2 | Counted in boxes, SAP in pieces; recount |
| Wrong bin | 2 | Stock in neighbour bin; move in SAP |
| Real differences | 5 · -$4,180 | Post after approval |
| Matched | 106 | No action |
Only real differences are posted, after approval. Everything else is fixed at its cause.

Inside the platform
The case shows who it is waiting for, what happens next, what the agent checked and exactly what each person is approving.
Waiting for G. Silva (Inventory controller) to approve 5 differences totalling -$4,180, asked Mon 2 Nov at 15:32.
Once approved, the differences post. The 9 explained items are fixed at their cause, and two are recounted.
| Step | Owner | Status |
|---|---|---|
| Explain 14 differences | Agent | Done |
| Recount 2 items | Counter | Waiting |
| Approve 5 differences | G. Silva · Inventory | Waiting |
| Post differences | Agent | On hold |
5 items have differences with no open movement, unit or bin explanation, totalling -$4,180. Post them?

Capabilities
Every difference explained before it is adjusted.
Ownership
You map plants and storage locations to owners. Whoever answers first decides, and anything unassigned goes to the inventory controller.
Owners, rules and tolerances are configured to your organization and agreed for each deployment.
Controlled autonomy
The agent proves itself on your real work before it writes anything to SAP. The platform measures how often your people agree with it, so you decide when to give it more room, case type by case type.
The agent proposes every action but writes nothing to SAP. Your people decide, and each answer counts toward the agreement rate.
The required owners approve. The agent acts in SAP only when the last approval lands.
For case types you explicitly configure and approve, such as posting small differences under your threshold after a recount confirms them, the agent acts on its own and reports back.
Governed agent runtime
What makes this agent different is its configuration: its instructions, the tools it may use and the policies it works under. Reviewers, approvals, versions and audit work the same way for every agent you add.
Decisions go to named owners or authorized teams, with reminders, and every email links back to the case.
Gathering data is kept separate from changing SAP. Action tools are controlled and can require human approval before they run.
Versions can't be edited, and each case keeps the version it started with, so a change never alters work in progress.

What we measure
Every pilot tracks the same four measures from day one, so the business case comes from your data, not ours.
For SAP teams
The agent reads and writes data through supported SAP interfaces, without modifying standard SAP objects and without replacing your existing governance.
| Counts | Physical inventory documents and devices |
|---|---|
| Stock | Quantities by bin and batch |
| Movements | Open and recent goods movements |
| Master data | Units and storage settings |
| Differences | Posted after approval |
|---|---|
| Recount requests | Sent to counters |
| Process flags | Repeat causes to owners |
| Responses | Every SAP response recorded on the case |
ScopeWorks with SAP physical inventory documents in IM, and with WM or EWM bin counts where you use them. Count devices and schedules are agreed in discovery.
Pilot approach
A focused pilot in your QA or sandbox system proves the agent on your own data before anything reaches production.
Review SAP edition, interfaces, authorizations and representative data.
Agree the locations, count rules, thresholds and approvers.
Explain real counts in shadow mode: the agent explains, your team posts.
Review the four measures, then add locations and approved automatic postings.

Security & compliance
ISO 27001:2013 certified, SOC 2 Type 2 compliant, GDPR and HIPAA ready. Every agent action is logged and auditable, and SAP credentials stay in the platform's integration accounts.
