SAP AI Agent · FI-AR · Cash application Demo available

Automate SAP cash application with governed AI agents.

Match every customer payment to the right open items. The agent reads remittance advice from email, PDFs and bank files, matches payments to invoices in SAP, explains short pays and deductions, and proposes clearing for your AR team to approve.

Why it matters

Unapplied cash and unexplained short pays slow every close.

AR teams match payments to invoices by hand, chase remittances by email and leave deductions unworked until it's too late to dispute them.

  • Manual matching

    Remittances matched by hand

Payments arrive with remittances in every format, and someone keys them against open items one by one.Unapplied cash → Wrong DSO → Reminders on paid invoices
  • Short pays

    Deductions left unworked

Short payments sit as residuals with no reason, until the dispute window has closed.Write-offs → Lost margin → Customer disputes
  • Visibility

    On-account cash nobody explains

Unapplied and on-account cash builds up because nobody knows which invoices it belongs to.Close delays → Audit questions → Credit holds

How it works

Read. Validate. Decide. Act.

The same four steps as every Artificio agent. The agent does the research and the paperwork; your teams make the decisions.

  1. 01 · Read

    Read the remittance

From email, PDFs, portal downloads and bank files.

    • Invoice numbers, amounts and deductions extracted
    • Linked to the payment in the bank statement
  2. 02 · Validate

    Match to open items

Matches payments to invoices, including partial and combined payments.

    • Exact, partial and many-to-one matches
    • Missing invoice numbers found by amount and customer
  3. 03 · Decide

    Explain the differences

Classifies short pays, overpayments and deductions.

    • Deductions checked against agreements and promotions
    • Each difference gets a reason code and an owner
  4. 04 · Act

    Propose clearing

Proposes clearing for AR to approve, with residuals where needed.

    • Clearing and residual items posted after approval
    • Unworked items routed to the right owner

Worked example

A payment with a short pay, from remittance to clearing proposal.

Question for K. Lee

Accept the USD 612.00 deduction on invoice 90041877 as a valid Q4 promotion and clear it to the promotions account?

Accept and clearDispute deductionAnswer as authorized delegate
  • If there's no remittance

    Matched by amount

The agent proposes matches from amount, customer and invoice dates, and asks the customer for a remittance when it's not clear.
  • If a deduction is invalid

    Disputed with evidence

The agent drafts the dispute with the invoice, delivery proof and agreement attached, for AR to send.
  • If SAP rejects the posting

    The case stays open

SAP's message is recorded on the case so the data can be corrected and the posting retried.

Controlled autonomy

Start with human oversight. Automate only when ready.

The agent proves itself on your real work before it writes anything to SAP. The platform measures how often your people agree with it, so you decide when to give it more room, case type by case type.

  1. Step 1Where every agent starts

    Shadow mode

The agent proposes every action but writes nothing to SAP. Your people decide, and each answer counts toward the agreement rate.

  2. Step 2

    Approve, then act

The required owners approve. The agent acts in SAP only when the last approval lands.

  3. Step 3

    Act by approved rule

For case types you explicitly configure and approve, such as clearing payments where every invoice matches exactly, the agent acts on its own and reports back.

Governed agent runtime

Shared platform controls across every Artificio agent.

What makes this agent different is its configuration: its instructions, the tools it may use and the policies it works under. Reviewers, approvals, versions and audit work the same way for every agent you add.

What we measure

Results you can see in your own numbers.

Every pilot tracks the same four measures from day one, so the business case comes from your data, not ours.

  • Auto-match rate

    Payments matched without manual work.
  • Unapplied cash

Cash on account or unapplied, by age.
  • Deductions resolved

Deductions explained, accepted or disputed in time.
  • Time to apply

From payment received to cleared in SAP.

For SAP teams

Integrates with SAP ECC and S/4HANA through standard interfaces.

The agent reads and writes data through supported SAP interfaces, without modifying standard SAP objects and without replacing your existing governance.

Reads from SAP

Open itemsCustomer open items and invoices
Bank statementsPayments from the electronic bank statement
AgreementsPromotions, rebates and price agreements
DeliveriesProof of delivery for shortage claims

Writes to SAP

ClearingIncoming payments and clearing through supported interfaces
ResidualsResidual items with reason codes
DisputesDispute cases where configured
ResponsesEvery SAP response recorded on the case for resolution or retry

ScopeThe exact interfaces, objects and fields in scope are confirmed for your SAP release and deployment during technical discovery. S/4HANA Cloud Public Edition is reviewed case by case, and some landscapes may need additional configuration.

Pilot approach

Start with one company code and a few large customers.

A focused pilot in your QA or sandbox system proves the agent on your own data before anything reaches production.

  1. Phase 1

    Connect

Review SAP edition, interfaces, authorizations and representative data.

  2. Phase 2

    Configure

Agree one company code, key customers, reason codes and owners.

  3. Phase 3

    Pilot

Run real payments in shadow mode, including short pays and deductions.

  4. Phase 4

    Expand

Review the four measures, then add customers, company codes and autonomy.

Frequently asked questions

Questions SAP teams ask.

Which remittance formats can it read?
Email bodies, PDF and Excel remittances, portal downloads and remittance data in bank files.
What if a payment has no remittance?
The agent proposes matches from the amount, customer and invoice dates, and flags uncertain ones for AR. It can also draft a request to the customer for the remittance.
How are deductions handled?
Each deduction is classified and checked against agreements, promotions and delivery proof. Valid ones are cleared to the right account after approval; invalid ones can be disputed with the evidence attached.
Does it work with our bank statement files?
Yes. Payments from your electronic bank statement are matched with the remittance details, whichever arrives first.
How is this different from the AP Reconciliation Agent?
This agent applies customer payments to receivables. The AP Reconciliation Agent compares supplier statements with your payables.
Does the AR Reconciliation Agent write to SAP without approval?
Not by default. Every agent starts in shadow mode, where nothing is written to SAP. After that, the required owners approve before the agent acts. Automatic action is only possible for cases you explicitly configure and approve.
Which SAP versions are supported?
SAP ECC and SAP S/4HANA. The exact interfaces and scope are confirmed for your release and deployment during technical discovery; S/4HANA Cloud Public Edition is reviewed case by case.
