Why it matters
AP teams tick statements line by line against SAP, chase missing invoices and find duplicates only when a supplier calls about an overdue balance.
How it works
The same four steps as every Artificio agent. The agent does the research and the paperwork; your teams make the decisions.
From email or supplier portals, in PDF, Excel or CSV.
Matches every line to open items, cleared items and payments.
Categorizes every difference and proposes the next step.
Produces a reconciliation the supplier can use.
Worked example
Midwest Steel sends its October statement with a balance USD 9,850.00 higher than SAP. Here is what the agent finds.
The three differences explain the full USD 9,850.00 gap.
| Item | Difference | Why |
|---|---|---|
| Invoice 77812 | +6,200.00 | Not in SAP; goods receipt posted 12 Oct |
| Invoice 77840 | +4,750.00 | Not in SAP; no goods receipt yet |
| Credit memo CM-311 | −1,100.00 | Supplier credit not yet posted in SAP |
| Total | +9,850.00 | Explains the full difference |
| 39 other lines | 0.00 | Match open items or payments |
No corrections are posted until AP approves. The supplier gets a reconciliation summary showing what is being fixed.

Inside the platform
The case shows who it is waiting for, what happens next, what the agent checked and exactly what each person is approving.
Waiting for T. Nguyen (Receiving) to confirm whether the goods on invoice 77840 arrived, asked Mon 2 Nov at 07:58.
A reminder goes out at 11:58 today. A copy of invoice 77812 has been requested from the supplier.
| Difference | Owner | Status |
|---|---|---|
| Invoice 77812 · missing | AP clerk | Copy requested |
| Invoice 77840 · missing | T. Nguyen · Receiving | Waiting |
| Credit memo CM-311 | AP clerk | Waiting |
| Summary to supplier | Agent | On hold |
Did the goods on Midwest Steel invoice 77840 (USD 4,750.00, PO 4500018911) arrive? SAP shows no goods receipt.

Capabilities
Every statement goes through the same checks, whatever the supplier or format.
Ownership
You decide who handles each kind of difference. Whoever answers first decides, and anything without an owner goes to the AP lead.
Owners, rules and tolerances are configured to your organization and agreed for each deployment.
Controlled autonomy
The agent proves itself on your real work before it writes anything to SAP. The platform measures how often your people agree with it, so you decide when to give it more room, case type by case type.
The agent proposes every action but writes nothing to SAP. Your people decide, and each answer counts toward the agreement rate.
The required owners approve. The agent acts in SAP only when the last approval lands.
For case types you explicitly configure and approve, such as sending the supplier a summary when the statement fully matches SAP, the agent acts on its own and reports back.
Governed agent runtime
What makes this agent different is its configuration: its instructions, the tools it may use and the policies it works under. Reviewers, approvals, versions and audit work the same way for every agent you add.
Decisions go to named owners or authorized teams, with reminders, and every email links back to the case.
Gathering data is kept separate from changing SAP. Action tools are controlled and can require human approval before they run.
Versions can't be edited, and each case keeps the version it started with, so a change never alters work in progress.

What we measure
Every pilot tracks the same four measures from day one, so the business case comes from your data, not ours.
For SAP teams
The agent reads and writes data through supported SAP interfaces, without modifying standard SAP objects and without replacing your existing governance.
| Open items | Supplier open and cleared items |
|---|---|
| Payments | Payment runs and outgoing payments |
| Invoices | Posted and parked invoices |
| Goods receipts | Receipts for unmatched invoices |
| Corrections | Approved corrections through supported interfaces |
|---|---|
| Summaries | Reconciliation summaries stored on the case |
| Requests | Copy requests to suppliers |
| Responses | Every SAP response recorded on the case for resolution or retry |
ScopeThe exact interfaces, objects and fields in scope are confirmed for your SAP release and deployment during technical discovery. S/4HANA Cloud Public Edition is reviewed case by case, and some landscapes may need additional configuration.
Pilot approach
A focused pilot in your QA or sandbox system proves the agent on your own data before anything reaches production.
Review SAP edition, interfaces, authorizations and representative data.
Agree one company code, the top suppliers and owners.
Reconcile real statements in shadow mode.
Review the four measures, then add suppliers, company codes and autonomy.
