Why it matters
Clerks re-key invoices into MIRO, chase buyers about price and quantity differences, and still pay late or twice. The real problems sit in the same queue as everything else.
How it works
The same four steps as every Artificio agent. The agent does the research and the paperwork; your teams make the decisions.
From the AP mailbox: PDFs, scans, email bodies and structured e-invoices.
Finds the PO and goods receipt and runs the three-way match line by line.
Each difference gets a reason and a suggested next step.
Clean invoices post; exceptions park or go to their owner.
Worked example
A supplier emails an invoice for bearings and seal kits without quoting a PO. Here is what the agent finds before anyone opens MIRO.
Matched on vendor, material and open quantity. PO 4500021771 has open lines for both materials, with goods receipts posted on 24 Oct.
| Check | Result | Why |
|---|---|---|
| Line 10 · quantity | 200 = 200 | Received in full on 24 Oct |
| Line 10 · price | 4.85 = 4.85 | Matches the PO price |
| Line 20 · quantity | 50 = 50 | Received in full on 24 Oct |
| Line 20 · price | 9.80 vs 9.60 | 2.1% above the PO price; outside your 2% tolerance |
| Tax code | I1 | From vendor and plant |
| Company code | 1000 | From the PO's plant |
Nothing is posted until the buyer decides on line 20. If the buyer accepts the price, the invoice posts; if not, it is parked with the reason.

Inside the platform
The case shows who it is waiting for, what happens next, what the agent checked and exactly what each person is approving.
Waiting for A. Chen (Buyer, P07) to accept or reject the price on line 20, asked Mon 2 Nov at 08:03.
A reminder goes out tomorrow at 08:03. The invoice is due for payment on 27 Nov.
| Line | Owner | Status |
|---|---|---|
| Line 10 · bearings | AP clerk | Matched |
| Line 20 · seal kits | A. Chen · Buyer | Waiting |
| Tax and totals | AP clerk | Checked |
| Posting | Agent | On hold |
Accept the invoice price of 9.80 for line 20? The PO price is 9.60 (2.1% higher, outside the 2% tolerance).

Capabilities
Every invoice goes through the same checks, whatever the supplier, format or scenario.
Ownership
You decide who handles each kind of exception. Whoever answers first decides, and anything without an owner goes to the AP lead.
Owners, rules and tolerances are configured to your organization and agreed for each deployment.
Controlled autonomy
The agent proves itself on your real work before it writes anything to SAP. The platform measures how often your people agree with it, so you decide when to give it more room, case type by case type.
The agent proposes every action but writes nothing to SAP. Your people decide, and each answer counts toward the agreement rate.
The required owners approve. The agent acts in SAP only when the last approval lands.
For case types you explicitly configure and approve, such as clean PO invoices within tolerance from suppliers you trust, the agent acts on its own and reports back.
Governed agent runtime
What makes this agent different is its configuration: its instructions, the tools it may use and the policies it works under. Reviewers, approvals, versions and audit work the same way for every agent you add.
Decisions go to named owners or authorized teams, with reminders, and every email links back to the case.
Gathering data is kept separate from changing SAP. Action tools are controlled and can require human approval before they run.
Versions can't be edited, and each case keeps the version it started with, so a change never alters work in progress.

What we measure
Every pilot tracks the same four measures from day one, so the business case comes from your data, not ours.
For SAP teams
The agent reads and writes data through supported SAP interfaces, without modifying standard SAP objects and without replacing your existing governance.
| Purchase orders | Open lines, prices and quantities |
|---|---|
| Goods receipts | Received quantities per PO line |
| Vendor master | Vendor, bank and tax data |
| Invoices in SAP | Parked and posted invoices, to prevent duplicates |
| S/4HANA | API_SUPPLIERINVOICE_PROCESS_SRV (OData) |
|---|---|
| ECC and service POs | BAPI_INCOMINGINVOICE_CREATE1 |
| Parking | Invoices parked with the reason when review is needed |
| Responses | Every SAP response recorded on the case for resolution or retry |
ScopeThe exact interfaces, objects and fields in scope are confirmed for your SAP release and deployment during technical discovery. S/4HANA Cloud Public Edition is reviewed case by case, and some landscapes may need additional configuration.
Pilot approach
A focused pilot in your QA or sandbox system proves the agent on your own data before anything reaches production.
Review SAP edition, interfaces, authorizations and representative data.
Agree one company code, the invoice scenarios in scope, tolerances and owners.
Run real invoices in shadow mode, including invoices without a PO and variances.
Review the four measures, then add company codes, scenarios and autonomy.

Security & compliance
ISO 27001:2013 certified, SOC 2 Type 2 compliant, GDPR and HIPAA ready. Every agent action is logged and auditable, and SAP credentials stay in the platform's integration accounts.
