SAP AI Agent · FI-AP · MM-IV · Payment blocks Configurable
Design scenario · how the agent is configured to work
Why it matters
Invoices block for price, quantity, date or quality differences. AP can't fix the cause, so blocks wait for buyers and receivers to answer, and suppliers call to ask where their money is.
How it works
The same four steps as every Artificio agent. The agent does the research and the paperwork; your teams make the decisions.
Reviews invoices blocked for payment, oldest discount date first.
Compares the invoice with the PO, receipt and inspection.
Sends the cause to the person who can fix it.
Releases the block once the cause is cleared.
Worked example
An invoice for packaging is blocked for price, with an early payment discount due Friday. Here is what the agent finds.
The buyer agreed the new price with the supplier by email on 28 Sep, but the PO and the purchasing info record still show $1.72.
| Check | Finding | Why |
|---|---|---|
| Block reason | Price | Over your 2% price tolerance |
| Quantity | Matches | 11,000 EA received on 26 Oct |
| Agreed price | $1.86 from 1 Oct | Buyer's email to the supplier |
| PO and info record | Still $1.72 | Price change not entered |
| Proposed fix | Buyer updates PO, then release | Discount can still be taken |
The block is released only after the buyer confirms the price and the AP lead approves.

Inside the platform
The case shows who it is waiting for, what happens next, what the agent checked and exactly what each person is approving.
Waiting for T. Hughes (Buyer) to confirm the $1.86 price and update PO 4500089012, asked Mon 2 Nov at 07:08.
Once the buyer confirms, the AP lead approves the release and the invoice joins Thursday's payment run, in time for the discount.
| Step | Owner | Status |
|---|---|---|
| Block explained | Agent | Done |
| Confirm price and update PO | T. Hughes · Buyer | Waiting |
| Approve release | AP lead | On hold |
| Include in payment run | Agent | Scheduled |
Delta Packaging invoiced $1.86 per unit against PO 4500089012 at $1.72. Your email of 28 Sep agreed $1.86 from October. Confirm the price so the PO can be updated and the invoice released?

Capabilities
Every blocked invoice gets a cause, an owner and a date.
Ownership
You map block reasons and purchasing groups to owners. Whoever answers first decides, and anything unassigned goes to the AP lead.
Owners, rules and tolerances are configured to your organization and agreed for each deployment.
Controlled autonomy
The agent proves itself on your real work before it writes anything to SAP. The platform measures how often your people agree with it, so you decide when to give it more room, case type by case type.
The agent proposes every action but writes nothing to SAP. Your people decide, and each answer counts toward the agreement rate.
The required owners approve. The agent acts in SAP only when the last approval lands.
For case types you explicitly configure and approve, such as releasing a block once the PO price is updated and the difference is within tolerance, the agent acts on its own and reports back.
Governed agent runtime
What makes this agent different is its configuration: its instructions, the tools it may use and the policies it works under. Reviewers, approvals, versions and audit work the same way for every agent you add.
Decisions go to named owners or authorized teams, with reminders, and every email links back to the case.
Gathering data is kept separate from changing SAP. Action tools are controlled and can require human approval before they run.
Versions can't be edited, and each case keeps the version it started with, so a change never alters work in progress.

What we measure
Every pilot tracks the same four measures from day one, so the business case comes from your data, not ours.
For SAP teams
The agent reads and writes data through supported SAP interfaces, without modifying standard SAP objects and without replacing your existing governance.
| Invoices | Blocked supplier invoices and reasons |
|---|---|
| Purchase orders | Prices, quantities and dates |
| Receipts | Goods receipts and returns |
| Quality | Inspection lots and decisions |
| Block release | Released after approval only |
|---|---|
| Owner requests | Messages to buyers, receivers and suppliers |
| Case notes | Cause and fix recorded |
| Responses | Every SAP response recorded on the case |
ScopeRelease runs through your standard process for blocked invoices, such as MRBR, and approval levels you set. Buyer mailboxes and contract sources are agreed in discovery.
Pilot approach
A focused pilot in your QA or sandbox system proves the agent on your own data before anything reaches production.
Review SAP edition, interfaces, authorizations and representative data.
Agree the block reasons, owners, tolerances and approvers.
Work real blocks in shadow mode: the agent explains, your team releases.
Review the four measures, then add company codes and approved automatic releases.
