Executive summary

Turn master-data migration from spreadsheet cleanup into a controlled data pipeline.

A manufacturer preparing for an SAP S/4HANA move faced a familiar migration problem: master data arrived in source files that had to be mapped, cleaned, checked, corrected and loaded. Errors discovered during loading triggered another round of spreadsheet edits and another reload.

Artificio replaced that fragmented cycle with a governed migration workflow. Source files are ingested and mapped into the target SAP structure, records are validated before load, potential duplicates are detected, exceptions are corrected in a controlled workflow, and approved records are written through OData. The platform retains the transformations, corrections, approvals and SAP responses as a complete change history.

The customer reported a faster migration data load, approximately zero duplicate materials created, and a full change history for the governed migration process.

The migration challenge

The hard part is rarely moving a row. It is proving the row is ready to become SAP master data.

Migration source files rarely arrive in exactly the structure expected by the target S/4HANA process. Column names differ, values need transformation, required attributes can be missing, codes can be inconsistent, and the same business object may appear more than once.

When these problems are managed manually, teams create working spreadsheets, formulas, lookup tabs and successive versions of โ€œcleanโ€ files. A load failure can send the record back into that offline process, making it difficult to know which value changed, why it changed and whether the corrected record was actually the one loaded.

The manufacturer needed to shorten this cycle without weakening data-quality controls or losing migration traceability.

Today

Spreadsheet-driven migration

  • Source extracts arrive in different structures.
  • Teams manually map columns and values.
  • Duplicate checks happen inconsistently.
  • Errors are discovered during test loads.
  • Files are edited and reloaded repeatedly.
  • Corrections can be difficult to trace across versions.
  • Successful and rejected records are reconciled manually.
With Artificio

Artificio-governed migration

  • Source files enter one controlled workflow.
  • Mappings and transformations are reusable.
  • Duplicates and validation errors are checked before load.
  • Exceptions are assigned for correction.
  • Corrected records are revalidated systematically.
  • Approved records are written through OData.
  • Every change and SAP response remains traceable.

Before Artificio

Weeks were being consumed by cleaning, test loading, correcting and loading again.

The source-to-target exercise was not a one-time conversion. Each migration cycle could reveal missing values, invalid mappings, duplicate records or SAP business-rule failures. Teams corrected spreadsheets and repeated portions of the load, creating another version of the data to manage.

This made migration effort dependent on manual reconciliation: which records were fixed, which failed again, which values changed between cycles and which file represented the current approved dataset.

Artificio moved those activities into a repeatable workflow so that mapping, validation, correction and loading become stages of the same governed process.

The solution

Map once. Validate before load. Correct exceptions. Repeat with control.

1. Ingest source datasets

Migration files enter Artificio as controlled source datasets rather than being copied repeatedly between working spreadsheets. The original source remains available for traceability.

2. Map source fields to the target structure

Source columns are mapped to the fields required by the target SAP object and process. Transformations, defaults and value mappings can be applied according to the approved migration design.

3. Validate before SAP

Records are checked for configured required fields, formats, allowed values, cross-field rules and duplicate conditions before they reach the load step.

4. Route exceptions to the right owner

Invalid records are separated from clean records. Reviewers see the failing field or rule, correct the data, and return the record to validation without rebuilding the entire migration file.

5. Load approved records through OData

Records that satisfy the configured controls are written through the customer's approved SAP OData services. SAP responses are captured per transaction so rejected records can return to the exception workflow.

Automated source-to-target mapping

Convert migration knowledge into reusable mappings instead of spreadsheet memory.

Artificio can standardize how source attributes map to the S/4HANA target. The migration team defines the approved source-to-target relationship, transformation logic and defaults, and the workflow applies those rules consistently across the dataset.

Data quality & duplicate prevention

Catch migration defects before they become S/4HANA master data.

Artificio applies configured quality checks before the load. These can include completeness, formatting, allowed-value validation, cross-field consistency and duplicate detection against the migration population and relevant target-system data.

For materials, duplicate detection is particularly important because loading two records that represent the same part can create long-lived problems in planning, procurement, inventory, costing and reporting. In the supplied case-study outcome, newly created duplicate materials were reduced to approximately zero.

Exception correction

Fix the failed record, not another copy of the spreadsheet.

When a record fails a rule or SAP transaction, Artificio keeps it in the governed workflow with the reason for failure. The responsible user can correct the affected field, add required information or resolve a duplicate candidate and then resubmit the record for validation.

Governed OData load

Write approved records to SAP and retain the response for every transaction.

After validation, Artificio submits approved records through the configured OData service for the relevant S/4HANA master-data object. The precise service and payload depend on the SAP object, release, deployment and APIs enabled in the customer's landscape.

Successful records are marked with the returned SAP result. Business or technical rejections are retained with the attempted data and routed back into the correction workflow.

This replaces a blind โ€œsend file and reconcile laterโ€ approach with transaction-level visibility into what was accepted, what failed and why.

Full change history

Know what changed between source, correction and final SAP load.

The customer retained a complete history of the governed migration process. Artificio can track the original source value, mapped value, transformations, validation results, user corrections, duplicate decisions, approvals, load attempt and SAP response.

This is especially valuable during migration testing and cutover because the team can explain why a target value differs from the original source rather than reconstructing that answer from multiple spreadsheet versions.

Repeatable migration cycles

Use the same governed pipeline for mock loads, corrections and cutover.

S/4HANA migrations typically require multiple data cycles. A mapping or rule proven during an earlier cycle should not have to be recreated manually for the next file. Artificio makes the mapping, validation and exception process repeatable so the team can run updated datasets through the same controlled path.

As issues are discovered, the migration design can be refined centrally. That reduces dependence on individual spreadsheet formulas and one-off cleanup knowledge.

Architecture

A controlled migration layer between source data and S/4HANA.

  1. Migration datasetsExcel ยท CSV ยท Legacy extracts
  2. Map & governTransform ยท Validate ยท Duplicate check
  3. Resolve exceptionsCorrect ยท Approve ยท Revalidate
  4. Load through ODataWrite ยท Response ยท Reprocess ยท Audit

The migration logic sits outside the source spreadsheets while S/4HANA remains the target system of record. Artificio orchestrates the work needed to produce load-ready records and records the outcome of each target transaction.

Controls & governance

Migration speed matters only if the loaded data remains trustworthy.

Role-based workflow can separate mapping/configuration, data correction, approval and load authority. Validation rules and duplicate policies are applied consistently, while manual corrections retain the identity and history of the change.

Records do not have to be treated as one all-or-nothing file. Clean records can progress while exceptions remain controlled, depending on the migration design and cutover policy.

Business outcomes

Faster loading, almost no duplicate materials, and a complete migration history.

Fastermigration data load
~0duplicate materials created
Fullchange history retained

The supplied customer story supports three clear outcomes. The migration data-load process became faster than the prior spreadsheet-cleaning and reload approach; newly created duplicate materials were reduced to approximately zero; and the governed process retained a complete change history.

The strongest operational improvement is repeatability. Instead of spending weeks repeatedly cleaning spreadsheets and reconciling load errors, the migration team can send successive datasets through the same mapping, validation, exception and load workflow.

No specific percentage acceleration, number of migration records, number of weeks saved, or labor-cost reduction has been invented because those figures were not supplied. They can be added later if you have measured customer data.

Key takeaways

Master-data migration should be a repeatable pipeline, not a collection of increasingly clean spreadsheets.

The technical ability to load records into S/4HANA is only one part of migration. The larger challenge is getting the records into a trustworthy state, knowing exactly what changed, preventing duplicates and resolving failures without losing control of the dataset.

Artificio turns those activities into a governed process that can be reused across migration cycles and, where applicable, across multiple master-data objects.
